Administrative Officer, Post Graduate Medical Education A bright, efficient, helpful and pleasant person who will reports to the Associate Dean, or a person designated by him/her. Your responsibilities being;

  • Provide administrative assistance to the Program Director at DAR Division of regional department ensuring timely completion of all tasks related to Academic Administration of the program.
  • Provide administrative support to the Dar division of regional department, ensuring timely completion of all tasks ranging from General Administration including day to day tasks related to security, transport and travel, maintenance/repairs, supplies, communication, HR, IT, power management printing and photocopying.
  • Provide secretarial support to Program Director and other faculty members of DAR Division
  • Coordinate the entire process on New Resident’s in take in Dar Division of the Regional Program in liaison with the office of Post Graduate Medical Education (PGME) Directorate in Nairobi. Office of the Chair – Regional Department of Family Medicine and Program Director- Dar Division.
  • Coordinate development, timely communication and enforcement of residents’ quarterly rotation schedules.
  • Coordinate the entire process of Residents’ Evaluation and Feedback as per the policies and procedures of the University7 including mid-term feedback and end of term exams. Collection of evaluations and feedback.
  • Coordinate and assist in the entire process of setting up Master of Medicine in Family Medicine part I and II exams. This includes assisting the Program Director in setting up the exam items, coordinating and setting-up the venue, and ensuring availability of the simulators.
  • Coordinate monthly meetings of the Academic Coordinators and Departmental Residency Training Committee with the Program Director – Dar Division and maintain updated records of minutes for both committees.
  • Assist Program Director in developing Exam items for the departmental pool.
  • Provide secretarial support/assistance to the Program Director, Dar Division, and other assigned faculty’ members of the department.
  • Coordinate and maintain records of all purchases and payments for the department. This includes raising local purchase orders (LPO) and release of payments (ROP) forms.
  • Coordinate with support from Administrative Officer- Dar Division in implementing security measures and conducting -day-to-day maintenance rounds and ensures all office equipment, furniture and fixtures are working condition. In addition manage all other administrative tasks relevant to smooth running of the department.
  • Coordinate communications with statutory and regulatory7 authorities through department leadership (Chair).
  • Work closely with Finance Office to plan accordingly on budget and coordinate all purchases and expenditures for the department.
  • takes on academic related work from Department Heads and Program Directors in Family Medicine, Medicine and Surgery
  • Carryout any responsibilities as may be assigned by the Associate Dean and his/her department.
  • Work closely with Administrative Officer supporting Associate Dean Office to familiarize with the role
  • You will have an interchangeable role with other Administrative Officers at PGME,
  • Fully support the Associate Dean Office as and when required

Skills. Qualifications and Experience

  • MBA holder with marketing and managerial skills with at least three years of experience in a reputable Education Sector.
  • Excellent MS office skills (specially MS Excel and MS PowerPoint)
  • Excellent interpersonal and team-building skills arc essential
  • Excellent verbal and written communication
  • Excellent analytical skills and abilities
  • Able to assumes responsibilities and can work independently
